Your privacy is important to us. This policy is intended to provide you with a clear understanding of how we collect, use, protect or otherwise handle your personally identifiable information when you are a Candidate or job applicant.

This Notice was last updated and applies from August 16, 2024. When we make changes to this Policy, we will change the “Last Updated” date at the beginning of this policy. All changes shall be effective from the date of publication unless otherwise provided in the notification.

What this policy covers

This Privacy Policy covers the information we collect about you when you are a candidate or job applicant processed through our website during recruitment through our website and candidate portal https://www.pairsoft.com/careers/.

PairSoft, we, and us refer to Paramount Technologies, Inc. d/b/a PairSoft and all corporate affiliates including APRO. PairSoft is the primary “Data Controller,” the entity responsible for protection of personal data when held in PairSoft systems or transferred between other data processors, third-party tools, or vendors: these entities are the “sub-processors.” Annex I at the end of this document describes the terms used in this policy.

As a Data Controller and processor, PairSoft is responsible for the protection of your personal data. Please read this privacy notice (the “Notice”) to learn how we use personal data, how we protect it, and what privacy rights you have under applicable Data Protection Laws.

What information we collect about Candidates

We collect your information when you provide it directly to us, use our website, use our Services, and when other sources provide it to us. The different types of data and their use are described briefly below.

Please note that if you decide not to provide certain Personal Data, this may affect our ability to carry out the activity for which we require this data.

For example, if you decide not to provide us with Personal Data which is necessary in relation to our job application process, we may not be able to proceed with your application. We will inform you of the consequences of this.

  • General Personal Data
    General personal information, such as name, address, email address and telephone number, date of birth, gender. This data allows us to inform you about (the progress of) the application, conduct job interviews, evaluate your application, assess your experience and qualifications and keep records concerning our recruitment process.
  • Additional Data
    All data you provide for employment consideration, application evaluation, and assessments of your experience and qualifications.
  • Candidate Screening
    Data for screening purposes and certificate of conduct is processed to determine a risk value for the integrity and reliability of a person in relation to performance of specific employment duties. Data includes screening date and notes, salary and benefits, and offer letter. Screening is limited to specific types of positions as required. The information will only be used for Screening, and information will not be used for any other purposes. (Article 10 GDPR, article 33 (2) sub a of the General Data Protection Regulation Implementation Act.).
  • Employment History and Experience
    Data on employment history and experience such as curriculum vitae, level of education, internships and work experience, assessments and references. Data will be used to conduct job interviews, evaluate your application, and assess your experience and qualifications.

How we collect your data

When you apply for a job position with PairSoft, you provide direct consent for sharing general, personal, and identification data with the Company. The data might include professional and employment details; career development details; and candidate screening information.

Additional information may be collected during interviews, through communication with references, or via testing partners.

PairSoft may receive also your personal data indirectly from the following sources:

  • Business events and sponsors
  • Partner companies
  • Referrals
  • Web Cookies
  • Digital Analytics
  • Online surveys
  • Social media channels
  • Skills evaluations

The specific types of data and reasons for collection are available to employees and other personnel of any PairSoft entity, including contractors, business owners, directors, officers, and other staff via our internal Employee Portal or a request to privacy@pairsoft.com.

How we use information we collect about Candidates

Personal Data covered by this Candidate Notice is only processed if there is a legal basis, for example:

  •  To take steps prior to entering a contract or for the performance of a contract
  • To comply with a legal or regulatory obligation to which we are subject
  • For the purposes of our legitimate interests
  • With your explicit consent (as described in the previous section).

For some activities, the purposes and means for processing the personal data of a Candidate are determined by an affiliated local entity as included in Annex II (e.g. for employment of local personnel). In that case, the local entity acts as the Processor/Controller for specific types and uses of a Candidate’s Personal Data.

Local processors may use personal data with your explicit consent for:

  • Screening for suitability to an employment position
  • Conducting job interviews
  • Communicating with you throughout the application process
  • Communicating with any references you have provided
  • Communicating with current Company employees responsible for tracking the recruitment and hiring process
  • Evaluating experience and qualifications
  • Evaluating the application and financial data provided and shared by other entities as related solely to the personal data required for hiring purposes.

Our commitment to Data Security

PairSoft (the “Controller”) takes appropriate security measures to prevent unauthorized access, disclosure, modification, or unauthorized destruction of the Data. We have implemented and will maintain technical, administrative, and physical measures that are reasonably designed to help protect your Personal Data from unauthorized processing, including unauthorized access, exfiltration, theft, disclosure, alteration, or destruction.

Data processing is carried out using computers and/or IT enabled tools, following organizational procedures and modes strictly related to the use of Personal Data exclusively for purposes indicated.

In addition to the Controller, Candidate Data may be accessible to certain types of management employees, those involved with the operation of this Website (administration, sales, marketing, legal, system administration and IT), or other appointed external parties (such as third-party technical service providers, mail carriers, hosting providers, IT companies, communications agencies) acting as Data Processors.

All Data Processors must agree to the data protection safeguards and procedures outlined in the SCCs and in compliance with GDPR rules. You may request a copy of these documents via privacy@pairsoft.com.

How we store and secure information

We are committed to maintaining the confidentiality, integrity and security of information about our website Users and Candidates. We use industry standard technical and organizational measures to secure the information we store, and we only retain your Personal Data to fulfill the purpose(s) for which it was collected.

Personal Data obtained during the application procedure will be kept for one year after the application process ends, unless candidate consent is provided, or national and local employment and/or privacy regulations require otherwise.

If you accept an offer of employment from us, only necessary Personal Data collected during your pre-employment period will become a part of personnel records: these records will be subject to our internal Employee Privacy Notice.

How we transfer information

Within the Company, only specific employees will have access to your Personal Data to carry out specific activities.

We do not share your Personal Data with parties or individuals who are not part of the Company unless we have specifically indicated that we will do so.

PairSoft collects information globally as our Customers, Partners, Candidates and Employees are located worldwide. We may transfer, process, and store your information outside of your country of residence, to wherever we or our third-party service providers operate.

Before transferring your Personal Data to any third parties, we will either ask for your explicit consent or require the third party to maintain at least the same standards of privacy and security that we do.

Data safeguards we follow include, but are not limited to, the measures listed below:

  • Internal IT and IT security governance and management
  • User identification and authorisation
  • Encryption of personal data and databases
  • Tests and assessments for evaluating the effectiveness of technical and organisational measures.

Your rights

Under Data Protection laws, you have various rights relating to your Personal Data, subject to local and national data protection laws. A brief description of your rights is included below. For additional details, please refer to the Privacy Policy.

  • Right to be informed: You have the right to be informed about the collection and use of your personal data.
  • Right of access: You have the right to access your personal data and to request copies.
  • Right to rectification: You have the right to request that we correct any personal information that you believe is inaccurate. You also have the right to request that we supplement, correct, or block your personal data.
  • Right to erasure: You may request erasure of your personal data under certain conditions
  • Right to data portability: You have the right to request that PairSoft transfers the data that we have collected to another organization, or directly to you, under certain conditions.
  • Right to restrict processing: You may have the right to ask us to restrict the processing of your Personal Data in certain circumstances. The sale of Personal Data to be used for marketing, for example, is one of these.
  • Right to withdraw consent: If you give us your consent to process your data, you may withdraw your consent at any time. This will not affect the lawfulness of any processing carried out before the withdrawal of your consent.
  • Right to object: You may object to the processing of your data. We will try to comply with this, unless there are justified grounds for the processing.
  • Right to object to automated processing: We sometimes use computers to study your personal data. For decisions that may seriously affect you, you have the right not to be subject to automatic decision-making, including profiling. But in those cases, we will always explain to you when we might do this, why it is happening, and the effects.

How to exercise your privacy rights

We will confirm the receipt of your request within the time limits of applicable laws, normally within ten (10) business days, and, in that communication, we will also describe our identity verification process (if needed) and when you should expect a response, unless we have already granted or denied the request.

Please allow us up to a month from the date of receipt to reply to your request. If we need additional time, we will inform you of the reason and the extension period in writing.

Additional privacy information

PairSoft offerings are not directed to persons under 18, and the Company does not knowingly collect Personal Data from children under 18.

Any individuals under the age of 18 must have consent from their parent or guardian to interact with PairSoft. If a parent or guardian becomes aware that a child has provided PairSoft with Personal Data without their consent, they should contact us at privacy@pairsoft.com. When PairSoft discovers that a child under 18 has provided Personal Data, then PairSoft will take necessary steps to erase the information from all files.

How to contact the appropriate authority

Should you wish to report a complaint about how we handle your data, or if you feel that PairSoft has not addressed your concern in a satisfactory manner, you may contact the appropriate data protection authorities (DPAs).

Definitions of terms used in this policy

a) Data Protection Laws:

I. e) Supervisory Authority: in the EU, an independent public authority for supervision of compliance with the GDPR which is established by an EU member state; outside the EU, an independent public authority which is established by the relevant country or state where PairSoft is located to supervise compliance with Data Protection Laws of that country or state.
